The Administration Manager plays a key role in ensuring the smooth and efficient operation of Grass River Natural Area, Inc. (GRNA) by managing day-to-day administrative processes, financial recording, and donor relations. This position supports the Executive Director, staff, and Board of Directors by maintaining accurate records, fostering strong organizational systems, and providing excellent internal and external communication. This role directly contributes to GRNA’s mission by ensuring organizational excellence and meaningful engagement with our community of supporters.
The Manager ensures compliance with state and federal reporting requirements, supports staff onboarding and HR functions, manages data and correspondence related to donors and supporters, and contributes to a welcoming and organized administrative office. This role is ideal for a highly organized, detail-oriented individual who enjoys working across multiple areas of a nonprofit organization and contributing to the success of GRNA’s mission.

KNOWLEDGE & EXPERIENCE: ?
2+ years managing an office environment, including bookkeeping procedures
Experience working with accounting software, preferably QuickBooks non-profit edition
Experience working with a Customer Relations Management software, Salesforce preferred
Knowledge and understanding of basic accounting principles and practices, preferred
Able to develop positive relationships with donors, volunteers, staff, vendors, and others connected to organization
Experience in the following programs: Google Workspace, Microsoft Office suites, Weebly, Square/PayPal/Stripe payment systems
COMPENSATION:
The Administration Manager is a full-time, non-exempt position with an hourly rate of $17-$19/hr commensurate with background and experience. Other benefits include the option to participate in a Simple IRA plan with a 3% employer match, generous paid time off, a flexible working schedule, and employee discount on programs and at the gift shop.

RESPONSIBILITIES:
ADMINISTRATION (35%)
- Provide administrative support to the Executive Director (meeting coordination, document preparation, etc.)
- Create a welcoming and professional atmosphere by serving as a friendly and knowledgeable point of contact in the GRNA, Inc. Administration offices
- Retrieve, sort, and process mail
- Oversee routine vendor services needed to maintain and update organizational-wide computer software, insurance plans, and benefits packages.
- Serve as liaison with GRNA Board of Directors and committee members
- Keep an inventory of and order office/GR Center supplies
- Manage Gift shop inventory orders and merchandizing
- Serve as the liaison between GRNA’s outside accountant by providing timely and accurate records needed for monthly and end-of-year financial reports, including recording deposits, expenditures, accounts payable, billing, etc.
- Help onboard and support new employees and maintain employee records
- Maintain reporting requirements for state and federal governments (W9, LARA, etc.)
- Keep accurate and organized records to support GRNA, Inc. annual financial reviews and audits DONOR RELATIONS (30%)
- Manage all aspects of customer relations management software (Salesforce)
- Maintain processes, input all financial contributions to the organization, and create and send acknowledgment letters
- Oversee tribute stone/memorial bench program
- Run reports, develop mass mailing lists, and support bulk mail processes
- Coordinate and support donor events, including Riverfest, GRNA, Inc. annual fundraiser
